Role Summary:

NorthStar Academy is seeking a highly capable, mission-aligned, and deeply trustworthy HR & Business Operations Specialist to support the day-to-day operational health of our growing global Christian school.

This role is ideal for a proactive, highly organized, and relational professional who thrives behind the scenes creating order, excellence, and care through strong systems, thoughtful communication, and faithful stewardship.

The HR & Business Operations Specialist will work closely with the Chief Business Officer to provide trusted day-to-day ownership across financial operations, payroll administration, human resources processes, compliance coordination, and organizational systems. This individual will help ensure NorthStar’s internal operations are healthy, efficient, compliant, and aligned with our Christ-centered mission.

The ideal candidate is both highly detailed and highly relational, able to manage financial processes with precision while also navigating confidential employee matters with professionalism, wisdom, and grace.

Hours:
Part-Time/Remote (approximately 20–25 hours per week, with flexibility based on organizational needs)

Key Responsibilities:

Business Operations & Financial Administration

  • Manage day-to-day financial administrative operations in partnership with the Chief Business Officer
  • Maintain accurate bookkeeping records and financial transactions within accounting systems such as QuickBooks
  • Process invoices, expense reimbursements, vendor payments, and purchase documentation accurately and efficiently
  • Support accounts payable and accounts receivable processes
  • Reconcile bank accounts, credit card statements, expense reports, and financial documentation
  • Organize and maintain accurate financial records for audits, reporting, compliance, and internal accountability
  • Support payroll processing and payroll-related documentation
  • Assist with month-end and year-end financial close preparation
  • Prepare financial reports, summaries, and documentation as requested
  • Coordinate vendor communication and help resolve billing or payment discrepancies
  • Support operational systems that strengthen stewardship, transparency, accountability, and organizational efficiency
  • Identify opportunities to improve workflows, systems, and financial processes

Human Resources & People Operations

  • Serve as a trusted resource for day-to-day employee HR questions, support, and administrative needs  
  • Coordinate recruitment processes, including job postings, candidate communication, interview scheduling, reference checks, and hiring logistics
  • Support onboarding and offboarding processes to ensure a welcoming, organized, and professional employee experience
  • Maintain accurate and confidential employee personnel records, HR documentation, contracts, acknowledgments, and compliance files
  • Assist with employee benefits administration, enrollment processes, and related communication
  • Support payroll administration, compensation documentation, and employment record accuracy
  • Coordinate employee background checks, required certifications, and compliance documentation
  • Help manage employee relations processes and sensitive personnel matters in partnership with leadership 
  • Assist with compensation administration, compensation documentation, employment letters, and related HR communications 
  • Help ensure HR systems, policies, required postings, and employment practices remain current and compliant, coordinating with leadership and outside advisors as needed
  • Help create and maintain healthy, efficient HR systems and workflows that support staff care, retention, and organizational excellence

Operational Support

  • Support the Chief Business Officer with operational priorities and organizational projects as needed
  • Assist in maintaining internal procedures, systems documentation, and process consistency
  • Contribute to special projects connected to organizational growth, infrastructure, compliance, and operations
  • Provide administrative and operational support that helps leadership focus on strategic priorities

Ideal Skills and Qualities:

  • 5+ years of experience in human resources, business operations, finance, accounting, payroll administration, or organizational operations
  • Bachelor’s degree in Human Resources, Business, Accounting, Finance, or a related field preferred 
  • Strong working knowledge of bookkeeping, accounting systems, and financial administrative processes
  • Experience with QuickBooks or similar accounting software strongly preferred
  • Familiarity with payroll systems, benefits administration, HR compliance, and employment processes preferred
  • Experience supporting remote teams and navigating employment processes in distributed work environments strongly preferred 
  • Exceptional organizational skills with the ability to manage multiple responsibilities simultaneously
  • High attention to detail and strong commitment to accuracy
  • Demonstrated ability to maintain strict confidentiality and handle sensitive information with professionalism and discretion
  • Excellent written and verbal communication skills
  • Strong technology proficiency, including Microsoft Office, Google Workspace, and cloud-based systems
  • Ability to learn new platforms and systems quickly
  • Strong problem-solving skills, sound judgment, and a proactive mindset
  • Relational maturity and emotional intelligence when navigating employee support and sensitive conversations
  • Ability to work independently while also collaborating closely with leadership
  • Teachable, humble, flexible, and solutions-oriented
